This Privacy Policy (“Policy”) describes how Meet SIGNEXA (“Company,” “we,” “us,” or “our”) collects, receives, accesses, uses, discloses, processes, stores, retains, transfers, protects, deletes, and otherwise handles information in connection with the websites, software, applications, tools, portals, integrations, products, services, features, modules, communications, and related offerings made available by or on behalf of Company (collectively, the “Service”).
By accessing or using the Service, creating an account, starting a trial, purchasing a subscription, submitting information, uploading content, connecting an integration, authorizing a third-party account, communicating with Company, or otherwise interacting with the Service, you acknowledge that you have read and understood this Policy.
If the Service is used on behalf of a business, organization, agency, shop, company, or other legal entity, references to “you” include such entity and its authorized users, personnel, representatives, agents, customers, clients, vendors, contractors, and other persons whose information may be submitted to, uploaded into, transmitted through, or otherwise processed by the Service.
01SCOPE AND APPLICATION
This Policy applies to information processed in connection with the Service, including information provided directly by users, information created or generated through use of the Service, information submitted or uploaded by customers and authorized users, information received from third-party services or integrations, and information collected through websites, forms, chat tools, support channels, data request forms, cookies, analytics tools, log files, and similar technologies.
This Policy does not apply to websites, applications, platforms, products, services, tools, processors, integrations, or providers that are not owned or controlled by Company, even if such third-party services are linked to, connected with, embedded in, integrated into, or accessible through the Service. Such third-party services are governed by their own terms, policies, practices, permissions, and agreements.
02ROLE OF COMPANY
Depending on the context, Company may act as a business, controller, processor, service provider, vendor, technology provider, or similar role under applicable privacy, data protection, and commercial laws.
With respect to business records, customer records, leads, contacts, projects, files, communications, invoices, estimates, proofs, time entries, accounting records, website content, and other data submitted by a customer into the Service, Company generally processes such data to provide the Service to that customer.
With respect to Company’s own website visitors, account administration, billing, product analytics, support, security, marketing, legal compliance, and business operations, Company may process information for its own business purposes.
Nothing in this Policy is intended to transfer ownership of Customer Data to Company.
03CATEGORIES OF INFORMATION COLLECTED
Company may collect, receive, access, process, or store information including, without limitation, the categories set forth below.
(a) Account and Registration Information. Names, email addresses, phone numbers, business names, company names, business addresses, user names, login credentials, account identifiers, subscription details, billing contact information, account owner information, administrative user information, workspace settings, permission settings, company profile details, brand settings, logos, business categories, and other information submitted in connection with account creation, account administration, authentication, onboarding, support, or use of the Service.
(b) Business, Workspace, and Customer Data. Information submitted, uploaded, generated, transmitted, stored, synchronized, imported, exported, or otherwise processed through the Service, including customer records, lead records, contact information, vendor records, prospect records, project data, job data, job tickets, work orders, proof records, quotes, estimates, invoices, payment records, agreements, forms, waivers, tasks, notes, calendars, schedules, reminders, production records, install records, job photos, artwork, design files, mockups, uploaded files, documents, attachments, revision history, approval history, client portal activity, message history, workflow activity, automation history, CRM activity, and other business records.
(c) Communications and Inbox Data. Information relating to emails, messages, chats, help desk communications, support tickets, live chat records, inbox records, sent messages, drafts, templates, customer replies, internal notes, communication threads, follow-up history, newsletters, transactional messages, SMS messages, phone call notes, message metadata, attachments, recipients, senders, timestamps, routing information, and related communication activity, whether created inside the Service or received from connected email, messaging, or communication providers.
(d) AI, Automation, and Workflow Data. Information used in connection with artificial intelligence, automation, analytics, workflow recommendations, drafting, rewriting, summarization, classification, extraction, scoring, routing, task creation, quote assistance, CRM updates, project suggestions, support suggestions, SEO recommendations, keyword recommendations, content generation, website suggestions, and similar automated or assisted features.
(e) SEO, Website, Ranking, and Marketing Data. Website information, domain information, content activity, blog activity, keyword tracking activity, ranking activity, search visibility information, Google Business Profile-related information, analytics data, campaign data, recommendation history, marketing content, page content, metadata, user-selected competitors, business categories, reporting data, and related information processed in connection with SEO, ranking, website, content, and marketing tools.
(f) Accounting, Payment, and Financial Workflow Data. Quotes, estimates, invoices, payments, payment statuses, payment links, refunds, credits, taxes, discounts, job costing, item records, product/service records, time entries, timesheets, payroll-related records, contractor records, accounting sync records, accounting export records, QuickBooks-related information, payment processor records, billing records, transaction confirmations, and related business or financial workflow information. Company is not a bank, accountant, payroll provider, or tax advisor.
(g) Time Tracking, Labor, and Operational Data. Clock-in records, clock-out records, time entries, task time, job time, user activity, work logs, role assignments, daily logs, IP address records, device information, location-related information where enabled, schedule records, team activity, production activity, install activity, and other operational records. Customers are responsible for determining whether and how they may lawfully use such features with their employees, contractors, installers, vendors, or other personnel.
(h) Integration Data. Information received from, sent to, or synchronized with third-party services, platforms, APIs, accounts, or integrations that you elect to connect, authorize, or use in connection with the Service. This may include Google services, Gmail, Google Business Profile, email providers, IMAP/SMTP accounts, payment processors, SMS providers, communication providers, QuickBooks, accounting systems, website tools, analytics providers, e-commerce tools, calendar tools, storage providers, and other integrations.
(i) Payment and Billing Information. Subscription status, plan type, billing history, invoice history, payment status, transaction records, tax information, account credits, add-ons, usage fees, overages, billing contact information, and related records. Full payment card information is generally processed by third-party payment processors and is not intended to be stored directly by Company except as required or permitted for billing, fraud prevention, compliance, security, chargeback handling, or account administration.
(j) Usage, Device, and Technical Information. IP addresses, browser type, device type, device identifiers, operating system, referring pages, pages viewed, features used, buttons clicked, actions taken, timestamps, session data, log data, diagnostic data, performance data, error data, crash data, authentication events, security events, cookie data, analytics data, and similar technical or usage information.
(k) Support, Feedback, and Training Information. Information submitted through support requests, onboarding calls, help desk tickets, chat conversations, surveys, product feedback, feature requests, bug reports, demonstrations, implementation requests, customer success communications, data request forms, and related communications.
04SOURCES OF INFORMATION
Company may collect information from you, your authorized users, your customers or contacts, your connected integrations, your devices, your browser, payment processors, communication providers, analytics providers, hosting providers, security providers, support tools, third-party APIs, publicly available sources, and other sources used to operate, support, secure, improve, or provide the Service.
05USE OF INFORMATION
Company may use information for any lawful purpose reasonably related to the operation, administration, provision, security, maintenance, support, improvement, development, enforcement, protection, commercialization, or delivery of the Service, including, without limitation, to:
(a) provide, operate, administer, maintain, secure, support, and improve the Service;
(b) create, manage, authenticate, and support accounts, workspaces, users, subscriptions, billing records, customer relationships, and user permissions;
(c) provide CRM, lead management, project management, proofing, estimating, quoting, invoicing, payment, agreement, communication, inbox, help desk, live chat, SMS, newsletter, automation, reporting, SEO, website, ranking, keyword, AI-assisted, accounting, time tracking, and related business workflow functionality;
(d) process, store, transmit, display, synchronize, import, export, organize, analyze, search, retrieve, and otherwise handle information submitted to, connected to, or generated through the Service;
(e) enable, support, maintain, troubleshoot, and improve integrations selected or authorized by users;
(f) sync, display, send, receive, route, summarize, classify, draft, organize, and otherwise process communications where authorized by a user or configured through the Service;
(g) provide support, onboarding, training, account assistance, troubleshooting, implementation help, customer success, and administrative services;
(h) process payments, subscriptions, usage charges, credits, add-ons, refunds, taxes, invoices, billing notices, payment failures, disputes, and account status;
(i) send transactional, administrative, billing, support, security, product, legal, and service-related communications;
(j) monitor usage, performance, errors, fraud, abuse, system integrity, uptime, security, and compliance;
(k) enforce agreements, protect legal rights, comply with applicable law, respond to lawful requests, and prevent or investigate unlawful, fraudulent, harmful, abusive, unauthorized, or prohibited activity;
(l) improve existing features, develop new features, test systems, improve workflows, generate recommendations, personalize experiences, improve templates, improve SEO and keyword tools, improve automation logic, improve customer support, improve accounting-related workflows, and better understand customer needs;
(m) use aggregated, anonymized, de-identified, or redacted information for analytics, benchmarking, internal training, testing, research, product development, business intelligence, market analysis, service improvement, recommendation improvement, and other lawful business purposes; and
(n) carry out any other purpose disclosed at the time information is collected or as otherwise permitted by applicable law.
06AI, AUTOMATION, ANALYTICS, AND PRODUCT DEVELOPMENT
The Service may include or interact with artificial intelligence, machine learning, generative systems, automation tools, analytics tools, recommendation systems, workflow systems, communication systems, data processing systems, ranking systems, and related service providers.
Such tools may be used to provide, support, personalize, test, improve, develop, and operate the Service and may assist with drafting, rewriting, summarizing, classifying, extracting, organizing, analyzing, recommending, generating, routing, ranking, scoring, creating, comparing, measuring, suggesting, estimating, and otherwise supporting business workflows.
Without limiting the foregoing, such tools may be used in connection with email replies, inbox summaries, CRM updates, quote assistance, estimate assistance, support responses, help desk routing, live chat summaries, project notes, production notes, proofing, content creation, SEO suggestions, keyword suggestions, website content, newsletters, workflow recommendations, automation suggestions, business insights, onboarding, templates, customer communication, and related Service functionality.
Depending on the feature, automated or AI-assisted processing may involve Customer Data, workspace data, project data, communications, files, support records, help desk records, form submissions, customer records, lead records, SEO activity, keyword activity, website activity, workflow history, accounting-related records, time tracking records, usage information, and other information processed through the Service.
Outputs generated by artificial intelligence, automation, recommendation systems, analytics tools, or similar systems may be inaccurate, incomplete, outdated, misleading, unsuitable, noncompliant, or otherwise inappropriate for a particular use. Users are solely responsible for reviewing, verifying, approving, and determining the suitability of all outputs before relying on, sending, publishing, using, charging customers, making employment decisions, making financial decisions, making marketing decisions, or acting upon such outputs.
To the extent permitted by applicable law, Company may use aggregated, anonymized, de-identified, or redacted information for product improvement, system testing, internal training, analytics, benchmarking, feature development, recommendation improvement, workflow improvement, SEO tool improvement, keyword tool improvement, and similar purposes.
Company does not intentionally use payment card data, bank account data, highly sensitive personal information, private financial records, or confidential customer-specific information for optional AI training or general product improvement except where such use is necessary to provide the requested Service, authorized by the customer, de-identified, legally permitted, or otherwise subject to appropriate safeguards.
6AOLLI WORKSPACE ASSISTANT, MEMORY, AND LEARNING CONTROLS
Olli is enabled by default to help users operate their workspace. Olli uses bounded active-workspace data to answer questions, explain business signals, prepare action drafts, and suggest next steps for approval. Olli workspace answers use the active workspace only.
Olli workspace memory is private to that workspace. It may remember approved preferences, common products, follow-up style, and business context for that workspace only. Workspace memory can be turned off, managed, exported, or deleted where available.
Company may use anonymized usage patterns, feedback, action outcomes, and redacted learning signals to improve Olli recommendations, product quality, and future sign-industry AI features unless the workspace disables those settings. Sensitive email bodies, private files, payment credentials, API keys, secrets, tokens, raw customer-identifying information, and cross-workspace data are excluded from global learning by default.
Command Center Olli does not include raw email bodies by default. Specific inbox assistant tools may use a selected email thread only when the user actively chooses that feature and any customer-facing send action requires approval.
Information received from Google Workspace APIs is used only to provide user-facing Meet SIGNEXA features and is handled according to Google API Services User Data Policy, including Limited Use requirements.
07ACCOUNTING, QUICKBOOKS, PAYMENT, AND FINANCIAL WORKFLOW DATA
The Service may include features that assist with quotes, estimates, invoices, payments, job costing, accounting exports, accounting synchronization, QuickBooks-related workflows, payment processor integrations, tax-related fields, product/service records, customer records, vendor records, item records, payment statuses, and other business or financial workflow information.
If you connect an accounting provider, payment processor, or financial workflow integration, Company may receive, access, store, transmit, synchronize, or process information authorized by you or made available through the applicable provider. Such providers are third-party services and remain governed by their own terms, policies, permissions, APIs, limitations, and requirements.
Company does not provide accounting, bookkeeping, tax, legal, payroll, financial, banking, lending, or professional advisory services. Any accounting, tax, payroll, payment, pricing, invoice, estimate, quote, job costing, or financial workflow information provided through the Service is for convenience and operational use only and must be reviewed and verified by the customer.
08TIME TRACKING, TEAM, AND LABOR-RELATED DATA
The Service may include time tracking, clock-in/clock-out, job logs, timesheets, production logs, installer logs, picker logs, staff activity, schedule records, task activity, IP logs, device records, or related operational features.
Customers are solely responsible for determining whether and how such features may be lawfully used with employees, contractors, vendors, installers, pickers, remote staff, or other personnel. Customers are responsible for providing any notices, obtaining any consents, maintaining any required policies, and complying with wage, hour, employment, labor, privacy, monitoring, recordkeeping, and payroll-related laws.
Company may process time tracking and labor-related data to provide the Service, maintain records, support reports, enable payroll-related workflows, troubleshoot issues, prevent abuse, and improve the Service.
09GOOGLE USER DATA
If you elect to connect, authorize, or use Google services in connection with the Service, Company may access, receive, use, store, and process information obtained from Google APIs only to the extent authorized by you and permitted by applicable Google permissions, Google policies, this Policy, and applicable law.
Depending on the features enabled, Google-related information may include, without limitation, Google account information, authentication information, Gmail data, Gmail metadata, message headers, senders, recipients, timestamps, labels, threads, attachments, send permissions, Google Business Profile data, listing information, review information, message information, performance information, and related business data.
Company may process Google user data for purposes including authentication, account connection, displaying and organizing Gmail messages, syncing authorized email data, sending authorized emails, supporting user-configured workflows, creating or updating CRM activity, generating reminders or tasks, maintaining activity history, displaying or analyzing Google Business Profile information, providing business visibility tools, supporting customer communications, troubleshooting, securing, and maintaining user-facing features requested, configured, or authorized by the user.
Users may disconnect supported Google integrations within the Service where available and may revoke Company’s access through their Google Account permissions.
10GOOGLE API LIMITED USE DISCLOSURE
This Section applies solely to information received from Google APIs.
Company’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
With respect to Google user data:
(a) Company does not sell Google user data;
(b) Company does not use Google user data for advertising;
(c) Company does not use Google user data to train generalized artificial intelligence or machine learning models;
(d) Company does not use Google user data to determine credit-worthiness or for lending purposes;
(e) Company does not permit human access to Google user data except where necessary for security, support, troubleshooting, legal compliance, abuse prevention, or where the user has provided permission; and
(f) Company uses Google user data only to provide, maintain, secure, troubleshoot, or improve user-facing features that the user requests, configures, or authorizes.
The broader provisions of this Policy relating to analytics, benchmarking, artificial intelligence, automation, product improvement, service development, and aggregated or de-identified information apply to general Service data and Customer Data, but do not override the restrictions applicable to Google user data under this Section.
11EMAIL, IMAP, SMTP, AND NON-GOOGLE INBOX DATA
If you connect non-Google email accounts, IMAP accounts, SMTP accounts, domain-based email services, or other inbox services to the Service, Company may access, receive, store, transmit, display, send, synchronize, process, summarize, classify, draft, organize, and otherwise handle email and related data as necessary or appropriate to provide the connected inbox, global inbox, CRM, communication, automation, and related user-facing features.
Such information may include email addresses, senders, recipients, subject lines, message bodies, attachments, labels, folders, headers, timestamps, metadata, drafts, sent messages, replies, routing information, and related communication activity.
Customers are responsible for ensuring they have the right to connect such accounts and process communications through the Service.
12DISCLOSURE OF INFORMATION
Company may disclose information to vendors, processors, contractors, service providers, affiliates, professional advisors, business partners, integration providers, and other third parties as reasonably necessary or appropriate to provide, operate, maintain, secure, support, improve, develop, enforce, commercialize, or administer the Service.
Such third parties may include, without limitation, cloud hosting providers, infrastructure providers, database providers, storage providers, backup providers, payment processors, email providers, SMS providers, communication providers, analytics providers, logging providers, error monitoring providers, AI providers, automation providers, workflow providers, customer support providers, help desk providers, security providers, fraud prevention providers, compliance providers, Google APIs, accounting integrations, QuickBooks-related services, website providers, content tools, legal advisors, tax advisors, accounting advisors, and other professional or operational service providers.
Company may disclose information where it believes disclosure is necessary or appropriate to comply with law, respond to legal process, enforce agreements, protect rights or property, investigate fraud or abuse, protect the safety of any person, prevent security incidents, defend against claims, satisfy compliance obligations, or preserve the integrity of the Service.
In connection with a merger, acquisition, financing, sale, assignment, transfer, restructuring, bankruptcy, change of control, or similar transaction, information may be transferred, disclosed, assigned, or made available as part of such transaction.
Company does not sell personal information or Google user data.
13AGGREGATED, ANONYMIZED, DE-IDENTIFIED, AND REDACTED INFORMATION
Company may create, collect, derive, use, retain, disclose, and commercialize aggregated, anonymized, de-identified, or redacted information arising from or relating to use of the Service.
Such information may be used for any lawful business purpose, including analytics, benchmarking, reporting, research, internal training, artificial intelligence testing, machine learning evaluation, product development, service improvement, workflow improvement, SEO tool improvement, keyword tool improvement, recommendation improvement, business intelligence, industry insights, and development of new products or services.
Company will not intentionally identify a customer as the source of such information in public disclosures without permission.
14COOKIES AND SIMILAR TECHNOLOGIES
Company may use cookies, pixels, tags, scripts, log files, analytics tools, local storage, session storage, and similar technologies to operate the Service, maintain sessions, remember preferences, authenticate users, secure accounts, analyze usage, measure performance, detect errors, prevent abuse, support advertising or marketing where permitted, and improve user experience.
Users may control certain cookies through browser settings. Disabling cookies may affect the availability or functionality of the Service.
15COMMUNICATIONS
Company may send transactional, administrative, support, security, billing, legal, product, onboarding, and service-related communications. Where permitted by applicable law, Company may also send promotional or marketing communications.
Users may opt out of certain marketing communications through available unsubscribe mechanisms or by submitting a request. Transactional, legal, security, billing, account, and service-related communications may continue where necessary.
Customers using the Service to send or automate communications are solely responsible for their own compliance with applicable laws, rules, regulations, carrier requirements, platform requirements, and industry standards, including consent, opt-in, opt-out, unsubscribe, anti-spam, privacy, consumer protection, telemarketing, email, SMS, TCPA, CAN-SPAM, 10DLC, carrier, and similar requirements.
16DATA RETENTION
Company retains information for as long as reasonably necessary for the purposes described in this Policy, including to provide the Service, administer accounts, operate workspaces, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, protect security, support users, improve the Service, maintain backups, satisfy audit requirements, support billing, support tax obligations, and satisfy operational, accounting, compliance, or legitimate business requirements.
Retention periods may vary based on the nature of the information, account status, legal obligations, contractual obligations, billing needs, tax obligations, audit requirements, security requirements, dispute needs, backup schedules, fraud prevention needs, integration requirements, and operational requirements.
Upon account closure, termination, or an approved deletion request, Company will delete or de-identify applicable information within a commercially reasonable period, subject to any legal, tax, billing, security, fraud prevention, audit, backup, dispute, compliance, contractual, accounting, operational, or legitimate business retention requirements.
Backup copies may retain information for a limited period before being overwritten, deleted, or otherwise purged in accordance with standard backup practices.
17USER RIGHTS AND REQUESTS
Depending on applicable law and your relationship to Company, you may have certain rights to request access, correction, export, deletion, restriction, disconnection, portability, objection, opt-out, or other handling of applicable information.
Such requests may be subject to verification, authentication, legal exceptions, contractual obligations, operational limitations, technical limitations, security requirements, backup practices, billing obligations, fraud prevention, audit requirements, dispute needs, compliance obligations, and the rights of other persons.

18STATE, NATIONAL, AND INTERNATIONAL PRIVACY RIGHTS
Certain jurisdictions may provide residents with additional privacy rights, which may include rights to know, access, correct, delete, restrict, object, opt out, or obtain a copy of certain personal information.
Company will respond to applicable privacy requests as required by law. Company may deny or limit requests where an exception applies, including where retention is required or permitted for legal, tax, billing, security, fraud prevention, audit, dispute, compliance, operational, backup, contractual, or legitimate business purposes.
If Company processes personal information on behalf of a customer, Company may refer requests relating to such information to the customer, and the customer may be responsible for responding as the controller, business, or similar responsible party.
19DISCONNECTION OF INTEGRATIONS
Users may disconnect supported integrations where available within the Service. Disconnection may prevent Company from receiving new data from the disconnected integration; however, information previously synced, stored, transmitted, or processed may remain in the Service unless deleted by the user or removed pursuant to an applicable deletion request, subject to legal, billing, security, backup, audit, fraud prevention, dispute, compliance, contractual, and operational retention requirements.
For Google integrations, users may also revoke access through their Google Account permissions.
For accounting, payment, email, SMS, website, analytics, or other third-party integrations, users may also need to manage disconnection, revocation, deletion, or authorization settings directly with the applicable third-party provider.
20SECURITY
Company uses commercially reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure.
Such safeguards may include access controls, encryption in transit, workspace permissions, authentication measures, secure infrastructure, monitoring, logging, backups, internal access restrictions, and similar measures.
No method of transmission, storage, hosting, processing, or electronic communication is fully secure. Company does not warrant or guarantee that the Service or any information will be uninterrupted, error-free, immune from unauthorized access, or completely secure.
21THIRD-PARTY SERVICES
The Service may contain links to, connections with, or integrations with third-party websites, applications, platforms, products, APIs, processors, services, or tools. Company is not responsible for the privacy practices, security practices, availability, accuracy, content, policies, acts, omissions, or operation of third-party services.
Use of third-party services is governed by the applicable third party’s terms, policies, permissions, and practices.
22CHILDREN
The Service is intended for business use and is not directed to children under the age of 13. Company does not knowingly collect personal information from children under 13.
The Service is intended for users who are legally able to enter into business agreements.
23INTERNATIONAL PROCESSING
Company is operated from the United States. Information may be processed in the United States and in other jurisdictions where Company or its vendors, processors, affiliates, infrastructure providers, or service providers operate.
By using the Service, you acknowledge that information may be transferred to and processed in jurisdictions that may have data protection laws different from those in your jurisdiction.
24CHANGES TO THIS POLICY
Company may modify this Policy from time to time. Any changes will be effective when posted or otherwise made available, unless a different effective date is stated.
The “Last Updated” date will indicate when this Policy was most recently revised. Continued use of the Service following the posting of an updated Policy constitutes acknowledgment of the updated Policy.
